One of the easiest ways to improve email engagement is by sending the right message to the right people. This guide explains the segments in your account, when to use them, and which subscription type is most appropriate. We will update and add categories as these Segments (lists) grow.
HubSpot uses several concepts to determine who receives an email. Understanding the difference will help you choose the right segment every time.
| CONCEPT | ANSWERS THE QUESTION | EXAMPLE |
| Segment | Who is this person? | Current Coach, Previous Season Parent, All-Time Rider |
| Subscription Type | What type of communication have they agreed to receive? | <League> League News & Updates, <League> Season Notifications & Alerts, NICA News, etc |
| Marketing Contact | Can HubSpot send marketing emails to this contact? | Yes/No |
A contact may qualify for a segment but still not receive your email if they have unsubscribed from the selected subscription type or are not a marketing contact.
If you're unsure where to begin or just don't have time read further (we get it, you can always check more later), these are the Segments you'll use most often.
| I'm Sending.... | Segments | Subscription Type |
| Monthly Newsletter | Singletrack Times | League News & Updates |
| Race Flyer; Practice Cancellation | Current Riders, Current Parents, Current Coaches | Season Notifications & Alerts |
| Registration is OPEN |
Singletrack Times Previous Season or All Time Segments |
League News & Updates |
| Coach Licensing reminder | Current Coaches | Season Notifications & Alerts |
Sending the right message to the right audience isn't just a marketing best practice...it's about creating a better experience for your community.
When contacts consistently receive communications that are relevant to their role and involvement with the league, they are more likely to:
By choosing the most relevant audience, you also reduce the number of emails people receive. For example, a former parent doesn't need race weekend logistics. Sending only what's meaningful helps prevent inbox fatigue and builds trust that emails from your league are worth opening.
We've added two new Previous Season active segments to every league:
These segments help you reconnect with last season's participants who have not yet registered for the current season, making them perfect for preseason registration reminders and welcome-back campaigns. A big thank you to John in Indiana for reminding us how valuable the Previous Season segments were in Iterable.

Before choosing an audience, ask yourself: Who am I trying to reach?
If your goal is to encourage last year's riders, parents, or coaches to return, these new Previous Season segments are the right choice.
Why this matters
One of the biggest opportunities we have as communicators is sending the right message to the right people.
Choosing the correct audience:
The answer is probably both…but they serve different purposes!
Use Singletrack Times when you want to communicate with your entire subscribed community via your newsletter.. It's a great place to announce that registration is open, share what's new for the season, highlight league stories, and keep your broader audience engaged!!
💡 Best Practice: Keep your newsletter concise. Use short snippets with a clear call to action that directs your readers to your website to learn more.
| Segment | Who's Included | Best Used For | Suggested Subscription Type |
| Singletrack Times | Singletrack Times is your league's primary communications audience. Contacts may be added through several pathways, including current season registration, website newsletter sign-ups, donor workflows, or other approved league workflows. | Sharing community news, season highlights, registration updates, events, and stories that keep your audience connected throughout the year. |
League News & Updates ***A contact may continue to belong to one or more segments, but if they have unsubscribed from the subscription type used for the email, HubSpot will not send that marketing email to them. |
When not to use Singletrack Times:

Current Season segments are designed for operational and season-specific communications with participants actively involved this season.

| Riders - Current | Riders registered for the current season who shared an email | Rider-specific updates | Notifications & Alerts (operational) or League News & Updates (general news) |
| Coaches - Current | Coaches registered for the current season | Coach communications | Notifications & Alerts (operational) or League News & Updates (general news) |
| Parents - Current | Parents who are associated to a rider registered for the season | Parent communications | Notifications & Alerts (operational) or League News & Updates (general news) |

Use the GRiT segments when your communication is specifically related to GRiT programming, events, leadership opportunities, or initiatives. These audiences help you connect with female riders, their families, and GRiT leaders without sending communications to your broader league audience.
| Segment | Who's Included | Best Used For | Suggest Subscription Type |
| GRiT - Current | Current season female riders who are registered and paid, their primary parent, plus current GRiT Coach Leads. | Current GRiT programming | Notifications & Alerts or League News & Updates (general news) |
| GRiT - All Time | Current and historical female riders, GRiT Coach Leads, and parents/guardians of female riders within your league. | Recruitment for GRiT, Alumni outreach, events, re-engagement | League News & Updates (general news) |
💡 Best Practice
Use GRiT - Current for communications that support participants actively involved this season. Use GRiT - All Time when reconnecting with past participants, promoting GRiT initiatives and trying to grow, or inviting your broader GRiT community to events and opportunities.
Use the Previous Season segments when your goal is to reach a specific group of people with a specific message who participated last season but haven't yet registered for the current season. These emails should be more focused and action-oriented, with a clear call to register to reconnect with your league!
| Segment | Who's Included | Best Used For | Suggested Subscription Type |
| Previous Season Parents & Riders | Last season participants who haven't registered this current season in PitZone | Registration reminders, season launch, welcome back emails | League News & Updates (general news) |
| Previous Season Coaches | Last season coaches who haven't registered this season in PitZone | Coach recruitment, licensing reminders, preseason outreach | League News & Updates (general news) |
Keep these emails focused on one clear call to action...registering for the upcoming season.
Historical (All Time) segments are best used for broad outreach, alumni engagement, surveys, or communications that are not specific to the current season.
| Segment | Who's Included | Best Used For | Subscription Type |
|---|
| Riders – All Time | Anyone who has ever been a rider | Historical outreach, surveys, alumni campaigns | League News & Updates (general news) |
| Parents – All Time | Anyone who has ever been a parent | Broad announcements when appropriate | League News & Updates (general news) |
| Coaches – All Time | Anyone who has ever coached | Coach alumni communications | League News & Updates (general news) |
| Alumni – All Time | Former participants | Alumni engagement | League News & Updates (general news) |
Ask yourself these three questions:
Examples:
Examples:
| Subscription Type | Use When... |
|---|---|
| League News & Updates | Sharing newsletters, registration announcements, stories, community news, preseason communications, re-engagement campaigns |
| Notifications & Alerts | Time-sensitive operational information for current season participants, such as practice changes, race updates, weather, schedule changes, and important logistics. |
