Week 2 Training Summary

Week 2 (and your first email build in HubSpot) is a wrap!

We had a blast on last week working on our email build with those who joined our training Zoom!

If you missed it, the Training #2 Summary Document is now LIVE on the HubSpot Training Page with all learning objectives, new "email builder" resources, action items, and a link to the live session recording. Our goal is that async learners can go through the Summary Document and get the same content/learnings as those who attended the live session. This week, async learners will rely on Scribe Tutorials (or the live recording) to get what they need. If you have questions, just let us know!

Questions from this week's session:

Who should be our default "FROM" name and email address? Great question that pushed our team to think through this more carefully. After researching best practices and incorporating your feedback, we're moving forward with a consistent naming convention for all leagues. We'll be setting these up in HubSpot for you, so no action needed on your end other than following this structure:

  • From name: "NICA [League]"
  • From address: "info@[league]mtb.org"

NICA National will follow a similar format for consistency across the org. We're preparing a fuller explanation (coming soon). Note: there may be limited instances (like development campaigns) where a more personal from name/address makes sense, but for now please stick with the convention above.

Can two people work on the same email at the same time? It's best to have only one person working on an email at a time. Simultaneous editing risks overwriting each other's changes via autosave. Please communicate with your league staff if you think someone else might be working on the same email. This applies even with separate logins.

When do we officially switch to sending from HubSpot? We're working on this actively and should have a date for you starting next week. Our team is also preparing a campaign to notify all contacts about the platform change.

How often should we send newsletters? This depends on your league: size, team capacity, and volume of news to share. A smaller league will have different needs than one with two conferences and thousands of athletes. Check our best practices doc, and feel free to reach out to schedule a 1:1 call if you'd like personalized guidance.
