Regionals comms for leagues
It's Regionals season! Read on for some info on upcoming communications, resources, and logistics - plus sample social media + how you can support your league participants as they prepare to attend.
What to know:
- NICA MarCom staff will be on-site supporting social media and the local league photography team!
- Central/Eastern: Gabby Huffman
- Western: Em Meier
- As a reminder, our full email content schedule is here.
Our team will deliver the following comms before and after the event:- ~11 days out “last chance reg closes tomorrow” email for those who haven’t signed up yet (already sent for Eastern)
- 10 days out email - for participants (already sent for Eastern)
- 3 days out email - for participants
- Friday of the event - welcome email note
- Saturday morning of the event - critical “call for volunteers” email (ready to go if needed)
- Day after event (or 2-3 days after event depending on photographer links turnaround) - event recap #1; share gratitude, photo links, merch store link, and economic impact/event survey
- 4-5 days after event - second event follow-up email
What you can do:
SHARE ON SOCIAL MEDIA
We've created social media templates for leagues! These are ready-to-post with copy, photos, and everything you need! Use these to continue to promote the events. CENTRAL and WESTERN leagues: use these posts to encourage any last-minute registrations! EASTERN: Registration has closed, so you may need to adjust the copy slightly.
Send reminders to your league participants
We recommend that ALL leagues reach out to their audience with basic reminders before heading to Regionals. We’ve provided an email template and social copy below.
Anything you can do to help amplify or repeat key messages for your league audience is always incredibly helpful and welcome. Your coaches/teams are accustomed to hearing from you (whether through email or social media), and we appreciate your efforts to help with communications, hype, and sharing info about these events!
Have an idea for event comms, or notice a gap? Regionals is a team effort - so please let us know! While we can’t always accommodate every idea, we want to hear from you and to continue to improve these events year over year with your input!

EMAIL COMMUNICATION
We’ve crafted a recommended email below to share with your league’s Regional attendees.
WHEN: We recommend sending this about 5 days out from the event.
WHO: Send this to your league attendees using the segments we’ve created for you in HubSpot (search for “Regionals Registered” and your league lists will appear - be sure to include both coach and rider lists! Rider lists include families).
You are welcome to adapt/edit/add to this email copy in whatever way you wish.
